Retreat: Terms & Conditions

    These Terms & Conditions ("Terms") are between Combat Collective Ltd ("Combat Collective", "we", "us", "our") and the individual purchasing or participating in our services ("you", "your", "participant").

    These Terms apply to Combat Collective services and are divided into:

    Part A – General Terms
    Applies to all Combat Collective services.

    Part B – Classes, Courses, Memberships & Events
    Applies to classes, beginner/foundation courses, memberships, seminars, workshops, events and other non-retreat training programmes, whether held in the UK or internationally.

    Part C – Retreats
    Applies specifically to Combat Collective retreats and should be read alongside the relevant retreat booking page, package description and information provided to you at the time of booking.

    Part D – General Legal Terms
    Applies to all Combat Collective services.

    By making a booking, purchasing a service or participating in a Combat Collective activity, you confirm that you have read, understood and agree to the Terms applicable to your booking.

    Nothing in these Terms affects your statutory rights.

    PART A – GENERAL TERMS

    1. Bookings & Payment

    All prices will be stated on the relevant Combat Collective booking page, website or payment platform.

    Payment must be made using the payment methods made available by Combat Collective. Unless expressly agreed otherwise, payment must be made in advance.

    Your booking is personal to you and may only be transferred where permitted under these Terms or where Combat Collective agrees otherwise in writing.

    We reserve the right to refuse or cancel a booking where reasonably necessary, including where payment has not been received, information provided during booking is materially inaccurate, participation would create a health or safety concern, or a participant has seriously breached these Terms.

    Any refund due following cancellation by Combat Collective will be dealt with in accordance with the applicable section of these Terms and your statutory rights.


    2. Your Health & Responsibilities

    Combat sports and physical exercise can be physically demanding.

    You are responsible for considering whether you are physically capable of participating in the activity you have booked and for monitoring your own physical condition during participation.

    If you have concerns regarding your health, fitness or ability to participate, you should seek appropriate medical advice before taking part.

    You must inform the relevant coach or Combat Collective representative of any injury, pain, medical condition or limitation that may affect your ability to participate safely.

    If you experience pain, dizziness, unusual symptoms, injury or feel unable to continue safely during an activity, you should stop participating and inform a coach or Combat Collective representative as soon as possible.

    You must:

    • follow reasonable instructions and safety guidance given by coaches, instructors, venue staff and activity providers;
    • use facilities and equipment appropriately;
    • use any protective equipment required or recommended for an activity;
    • participate within your own ability and experience level; and
    • behave in a way that does not create an unreasonable health or safety risk to yourself or others.

    Coaches may adapt, restrict or refuse your participation in an activity where they reasonably believe participation may create a health or safety risk.


    3. Coaches & Medical Advice

    Combat Collective works with coaches and instructors who have appropriate experience and/or qualifications for the activities they deliver.

    Some training or activities may also be delivered by coaches or instructors engaged by our partner gyms or third-party providers.

    Coaches will provide instruction and supervision appropriate to the nature of the scheduled session and participant group.

    You are expected to pay attention to demonstrations, safety instructions and coaching directions and to ask for clarification if you do not understand an exercise, technique or instruction.

    Combat Collective representatives, coaches and instructors are not acting as medical professionals and cannot diagnose injuries or medical conditions or determine whether participation is medically appropriate for you.

    Where you are unsure whether you are medically fit to participate, you should seek advice from an appropriately qualified medical professional.


    4. Personal Belongings

    You are responsible for your personal belongings while attending Combat Collective activities.

    Where lockers or designated storage areas are available, you are responsible for using them appropriately.

    Combat Collective will not be responsible for loss, theft or damage to personal belongings except where this results from our failure to exercise reasonable care and skill or where liability cannot otherwise lawfully be excluded.


    5. Participant Conduct

    Combat Collective is committed to maintaining a safe, respectful and inclusive environment.

    Participants must behave reasonably towards other participants, coaches, Combat Collective representatives, venue staff and third-party providers.

    Harassment, threatening or abusive behaviour, violence outside the reasonable context of supervised combat-sports training, deliberate unsafe conduct, serious disruption or illegal activity will not be tolerated.

    Combat Collective may restrict a participant's involvement in an activity or, in serious circumstances, require them to leave a class, event, programme or retreat where their behaviour creates a material safety risk or constitutes a serious or repeated breach of these Terms.

    Where a participant is removed because of their own serious misconduct, they will not ordinarily be entitled to a refund and Combat Collective will not be responsible for additional costs they incur as a result, subject always to applicable consumer law.


    6. Female-Focused Environment

    Combat Collective is a women-focused combat-sports community and many of our classes, programmes, events and retreats are designed specifically for women.

    However, we cannot guarantee an exclusively female environment at all times.

    Male coaches, photographers, videographers, venue staff, reception staff, cleaners, transport providers or other professionals may be present.

    Many of the gyms, hotels, resorts, activity venues and other facilities we use are shared facilities and are not exclusively booked by Combat Collective. Members of the public, including men, may therefore also be present.

    Where a particular event or facility is exclusively reserved for Combat Collective, this will be communicated separately where relevant.


    7. Photography & Videography

    Combat Collective regularly documents its classes, events and retreats through photography and videography for community storytelling, social media, our website and marketing.

    Professional photographers or videographers may be present, including male professionals.

    Where appropriate, we may separately request consent regarding identifiable photography or videography and its intended use.

    If you have photography or filming concerns or do not wish to appear in content, please notify Combat Collective and, where relevant, the photographer, videographer or coach.

    Specific retreat media provisions are set out in Part C.


    8. Data Protection

    Combat Collective processes personal information in accordance with applicable UK data protection legislation, including the UK GDPR and Data Protection Act 2018.

    We may collect information reasonably required to:

    • process and administer bookings;
    • communicate important information relating to your booking;
    • safely deliver our services;
    • manage payments;
    • provide customer support; and
    • where permitted, send marketing or promotional communications.

    As data controller, Combat Collective is responsible for respecting applicable data protection rights.

    Requests concerning access, correction, deletion or restriction of personal data can be made to:

    PART B – CLASSES, COURSES, MEMBERSHIPS & EVENTS

    9. Scope

    This Part applies to Combat Collective:

    • individual classes;
    • beginner, introduction and foundation courses;
    • training programmes;
    • memberships;
    • seminars;
    • workshops;
    • events; and
    • other non-retreat programmes,

    whether delivered in the UK or internationally.


    10. Class & Course Cancellation

    We recognise that circumstances can change.

    If you wish to cancel your place on a class, course or programme, please contact:

    Where cancellation is permitted, Combat Collective currently offers a refund of up to 50% of the amount paid where cancellation is made at least 14 days before the relevant class date or programme start date.

    Cancellations made less than 14 days before the relevant class date or programme start date are non-refundable, subject to your statutory rights.


    11. Transferring Your Place

    If you can no longer attend a class, course or programme, you may request to transfer your place to another participant.

    Please email info@combatcollective.co.uk and copy in the proposed replacement participant, providing their:

    • full name;
    • email address; and
    • contact number.

    Any transfer of money between you and the replacement participant must be arranged privately between you.

    The transfer will only become effective once confirmed by Combat Collective.


    12. Moving to a Future Course

    For certain structured programmes, including beginner, introduction or foundation courses, Combat Collective may allow you to transfer your booking to a future equivalent programme.

    Transfers are subject to availability and are not guaranteed.

    Combat Collective reserves the right to approve or decline the request reasonably based on availability, timing and the circumstances of the booking.

    13. Changes to Classes, Coaches & Venues

    From time to time it may be reasonably necessary to change a class time, coach, venue or other operational detail due to coach availability, venue requirements, transport disruption or circumstances outside our reasonable control.

    Where a material change affects your booking, we will use reasonable efforts to notify you using the contact details provided at booking.

    We will take reasonable steps to provide the service booked or an appropriate alternative where circumstances require a change.


    14. Venue Rules

    Combat Collective classes and events may take place within independently operated gyms and venues.

    Participants must comply with reasonable health, safety and conduct requirements imposed by the relevant venue.

    Combat Collective may remove or refuse participation to someone who seriously or repeatedly breaches applicable venue rules.


    15. London Membership

    Where applicable, specific membership benefits, class allowances, pricing, cancellation terms and minimum commitment periods will be those displayed when the membership is purchased.

    Where a Combat Collective membership includes a retreat discount, the applicable eligibility requirements and discount percentage will be stated as part of the membership offer.

    Participants are responsible for requesting any applicable discount code before completing the relevant purchase.

    Discounts cannot be retrospectively applied to completed bookings unless Combat Collective agrees otherwise.

    PART C – RETREAT TERMS & CONDITIONS

    16. Retreat Bookings

    By booking a Combat Collective retreat, you enter into an agreement with Combat Collective subject to these Terms and the specific package description provided for the retreat you purchase.

    The inclusions and exclusions of each retreat vary.

    You should therefore review the booking page and package description for your specific retreat before booking.


    17. What Your Retreat Includes

    Your retreat price includes only the accommodation, training, meals, activities, transport and other services expressly stated as included in the package description for the specific retreat you book.

    Different Combat Collective retreats may have different inclusions.

    At the time of these Terms, accommodation is included within the Combat Collective Phuket Muay Thai Retreat and Chiang Mai Muay Thai Retreat packages. Other retreats may or may not include accommodation, as specified on the relevant retreat booking page.

    Unless expressly stated otherwise in your retreat package:

    Flights and other travel to and from the retreat destination are not included. Personal travel, medical and accident insurance are not included and must be arranged separately by you.

    Any additional purchases, meals, activities, accommodation, transport or services not expressly identified as included in your retreat package are your responsibility.


    18. Retreat Deposit & Cancellation Policy

    A deposit of 20% of the retreat price is required at the time of booking.

    The deposit is non-refundable, subject to applicable consumer law.

    If you cancel at least three months before the retreat start date, any amounts paid in excess of your 20% non-refundable deposit will be refunded.


    19. Retreat Transfers

    Requests to transfer an existing booking to another Combat Collective retreat must be submitted in writing.

    Where Combat Collective accepts the transfer, a £150 transfer fee will apply.

    Transfer requests made less than three months before the original retreat start date will not ordinarily be accepted.

    Transfers remain subject to availability and any difference in price between the original and replacement retreat.

    If the replacement retreat costs more, you will be responsible for paying the difference.

    Any entitlement where the replacement retreat costs less should be expressly confirmed by Combat Collective before the transfer is completed.


    20. Retreat Payment Plans

    Retreats may be paid for upfront or, where offered, using a Combat Collective payment plan.

    Unless a different schedule is specified when booking, our standard payment plan is:

    First payment: 20% at booking
    Second payment: 16% approximately 30 days later
    Third payment: 16% approximately 30 days later
    Fourth payment: 16% approximately 30 days later
    Fifth payment: 16% approximately 30 days later
    Final payment: remaining 16% approximately 30 days later.

    Where a retreat is booked closer to its start date, instalments may be condensed or adjusted proportionately so that the full balance is received before the retreat.

    Bookings made less than 30 days before the retreat start date may require payment in full.

    Payment links and applicable due dates will be communicated to you.

    Your booking is not fully paid until Combat Collective has received the complete retreat price.

    If an instalment or final balance remains unpaid after its due date, Combat Collective may contact you requesting payment and, following reasonable notice, may treat the booking as cancelled and release the place.

    Any amounts retained following non-payment or cancellation will be dealt with in accordance with these Terms and applicable consumer law.


    21. Discounts & Promotions

    Where a membership includes a retreat discount, the applicable eligibility requirements will be those stated as part of that membership.

    Unless otherwise stated:

    • discount codes cannot be used in conjunction with another discount, voucher or promotional offer;
    • discount codes apply only to eligible products or retreats;
    • eligibility requirements must be met when the booking is made; and
    • discounts cannot be retrospectively applied after purchase.

    Combat Collective may withdraw or amend promotional offers before a qualifying booking is made.


    22. Accommodation & Room Allocation

    Where accommodation is expressly included within your retreat package, accommodation will be provided in accordance with the category or standard described for that retreat.

    Hotel and resort rooms within the same advertised category may differ in:

    • size;
    • layout;
    • floor;
    • location within the property;
    • view;
    • décor;
    • furnishings;
    • bed configuration; and
    • amenities.

    Photographs or videos of accommodation appearing on our website, social media, booking pages or marketing materials are intended to provide a general representation of the accommodation unless a particular room type or feature is expressly stated as guaranteed as part of your booking.

    Room allocation is subject to hotel or resort availability and operational requirements. Combat Collective cannot guarantee a particular room number, floor, location, view, layout or proximity to other participants unless expressly confirmed by Combat Collective in writing.

    From time to time, a hotel or accommodation provider may, at its own discretion or because of availability or operational requirements, allocate or upgrade certain participants to a different or higher room category at no additional charge.

    A complimentary upgrade, different room allocation or additional room feature received by another participant does not entitle other participants to the same room, room category, upgrade, refund, credit or compensation, provided the accommodation supplied to you meets the category or standard included within your booking.

    Where the accommodation or room category included in your booking becomes unavailable, we will use reasonable efforts to provide accommodation of an equivalent or higher standard.

    Where an unavoidable change results in a material reduction in the accommodation forming part of your booking, Combat Collective will deal with the matter reasonably and in accordance with applicable consumer rights.


    23. Retreat Itinerary & Reasonable Changes

    The itinerary published for each retreat represents our planned programme.

    Due to the nature of group travel, combat-sports training and third-party activities, reasonable changes may occasionally be required.

    Combat Collective may make reasonable changes to session times, coaches, activities, venues, restaurants, transport arrangements or the order of the itinerary where necessary because of availability, weather, safety considerations, illness, operational requirements, circumstances affecting third-party providers or other circumstances outside our reasonable control.

    Where a material element of the retreat becomes unavailable, we will use reasonable efforts to provide a suitable alternative of comparable nature or value where reasonably practicable.

    Minor changes to timings, instructors, venues or the order of activities will not in themselves constitute a material change to the retreat.


    24. Website, Social Media & Promotional Content

    Photographs, videos and other content used on Combat Collective's website, booking pages, social media and promotional materials are intended to provide a general representation of the retreat experience.

    Unless expressly stated as forming part of your booking, individual photographs, videos or examples should not be interpreted as guaranteeing a particular:

    • hotel room;
    • room layout or view;
    • instructor or coach;
    • activity;
    • meal;
    • venue;
    • itinerary arrangement; or
    • other individual feature.

    The services included within your booking are those expressly identified as included in the relevant retreat package description at the time you book.


    25. Nature of Retreat Activities & Acknowledgement of Risk

    Combat Collective retreats may involve physically demanding activities including, depending on the retreat:

    • Muay Thai;
    • boxing;
    • kickboxing;
    • Brazilian Jiu-Jitsu;
    • MMA;
    • pad work;
    • partner drills;
    • controlled sparring;
    • strength and conditioning;
    • running;
    • hiking;
    • yoga;
    • swimming; and
    • other fitness or recreational activities.

    Combat sports and physical training involve inherent risks of injury even when appropriate instruction, supervision and safety precautions are provided.

    Potential injuries can include bruising, cuts, sprains, strains, fractures, dislocations, concussion, joint or ligament injuries and other physical injuries.

    By choosing to participate, you acknowledge the nature of these activities and voluntarily accept the risks ordinarily associated with them.

    Nothing in these Terms excludes or limits Combat Collective's liability where it would be unlawful to do so, including liability for death or personal injury caused by our negligence.


    26. Participant Safety Responsibilities

    You are responsible for assessing whether you are physically capable of participating in each activity and monitoring your physical condition throughout the retreat.

    You agree to:

    • provide accurate information requested about relevant health conditions or injuries;
    • disclose relevant existing injuries, pain, limitations or conditions to the relevant coach before participating where they may affect your ability to train safely;
    • immediately tell a coach if you experience pain, dizziness, unusual symptoms or injury;
    • follow reasonable safety instructions and demonstrations;
    • use protective equipment required or recommended for an activity;
    • train within your own ability and experience level; and
    • stop or modify an activity if you feel unable to perform it safely.

    You should not continue training through an injury or symptom where doing so may put you at risk of further harm.

    Coaches may adapt, restrict or refuse your participation where they reasonably believe continuing would create a safety risk.

    Where you voluntarily choose not to participate or your participation is reasonably restricted for health or safety reasons, you will not ordinarily be entitled to a refund for the missed activity.


    27. Medical Conditions & Special Requirements

    You must provide accurate information requested by Combat Collective regarding any medical, physical or other condition that may materially affect your ability to travel or participate safely.

    This includes relevant existing injuries and any other information specifically requested in our pre-retreat participant form.

    You should also notify the relevant coach of any condition or injury that may affect a particular training session.

    Where you have concerns regarding your ability to participate safely, you should seek professional medical advice before travelling or participating.

    Combat Collective will use reasonable efforts to accommodate requirements communicated to us but cannot guarantee that every medical, accessibility, dietary or other individual requirement can be accommodated.


    28. Travel, Medical & Accident Insurance

    It is a condition of participation that each participant obtains appropriate insurance for the duration of their trip.

    Your policy must provide appropriate medical and accidental injury cover and must cover the combat sports and martial arts activities in which you intend to participate, including Muay Thai, kickboxing, boxing, Brazilian Jiu-Jitsu or MMA where applicable.

    We strongly recommend that your policy also provides appropriate cover for:

    • trip cancellation or curtailment;
    • travel disruption;
    • lost or stolen belongings; and
    • additional activities you intend to undertake.

    It is your responsibility to read your insurance policy and ensure that the cover is suitable and adequate for your individual circumstances and the activities included within your retreat.

    Combat Collective may request evidence of appropriate insurance and reserves the right to prevent participation in training or activities where required insurance has not been obtained.

    Insurance is not included within the retreat price.


    29. Injury, Illness & Emergency Medical Treatment

    If you become injured or unwell during the retreat, you should notify a Combat Collective representative or relevant coach as soon as reasonably possible.

    Where reasonably necessary, Combat Collective or a retreat provider may assist you in accessing medical attention or arranging transportation to a medical facility.

    You remain responsible for medical, hospital, ambulance, medication, transportation and related costs incurred on your behalf, subject to any reimbursement available under your insurance.

    Combat Collective cannot guarantee the availability or response time of local medical services.


    30. Third-Party Providers

    Certain elements of a retreat may be provided by independent third parties, including:

    • hotels and accommodation providers;
    • gyms;
    • coaches and instructors;
    • restaurants;
    • transport providers;
    • excursion and activity operators;
    • boat operators;
    • wellness providers; and
    • other venues and retreat partners.

    You must comply with reasonable rules, health and safety requirements and instructions imposed by these providers.

    Combat Collective will exercise reasonable care in selecting and coordinating suppliers and services forming part of the retreat.

    However, we are not responsible for acts, omissions or circumstances outside our reasonable control except where responsibility cannot lawfully be excluded or where Combat Collective has failed to exercise the reasonable care and skill required by law.


    31. Free Time & Independently Arranged Activities

    Participants may have periods of free time during a retreat.

    Activities, excursions, additional training sessions, nightlife, transportation, food, accommodation or other services independently arranged or purchased by you outside the official Combat Collective retreat programme do not form part of your Combat Collective booking.

    Combat Collective is not responsible for independently arranged activities or services that do not form part of the retreat package.


    32. Alcohol, Drugs & Training

    You must not participate in training or another physical activity while impaired by alcohol, illegal drugs or any other substance that makes participation unsafe.

    Coaches, activity providers and Combat Collective representatives may refuse your participation where they reasonably believe you are impaired or otherwise unable to participate safely.

    No refund will ordinarily be provided for an activity missed because participation has reasonably been refused on these grounds.


    33. Training & Protective Equipment

    You are responsible for using training and protective equipment correctly and following instructions regarding its use.

    Where particular personal equipment is required for a retreat, this will be communicated to participants.

    You are responsible for ensuring personal training equipment brought by you is in suitable condition for its intended use.


    34. Travel Arrangements

    Unless expressly stated as included within your retreat package, you are responsible for arranging and paying for your own:

    • flights;
    • visas and entry requirements;
    • passports and travel documentation;
    • transportation to and from the retreat destination; and
    • other personal travel arrangements.

    Combat Collective is not responsible for delays, cancellations or other disruption caused by airlines or independently booked transport providers, except where applicable law provides otherwise.

    You are responsible for ensuring that your passport, visa, entry requirements and other travel documentation are valid and appropriate for your trip.


    35. Airport Transfers

    Where airport transfers are included within a particular retreat package, the applicable airport, transfer dates, collection arrangements and eligibility requirements will be communicated separately.

    Transfers are only provided within the scope expressly stated for the relevant retreat.

    Participants are responsible for providing accurate flight and arrival/departure information by any deadline communicated by Combat Collective.

    Combat Collective cannot guarantee transfers where required information is provided late or incorrectly, although we will use reasonable efforts to assist where practicable.


    36. Events Outside Our Reasonable Control

    Combat Collective will not be responsible for failure or delay in performing obligations where caused by circumstances outside our reasonable control.

    Such circumstances may include severe weather, natural disasters, epidemics, government restrictions, civil unrest, significant transport disruption, venue closures or similar events.

    Where such circumstances materially affect a retreat, we will communicate with participants as soon as reasonably practicable and take reasonable steps to minimise disruption and, where appropriate, arrange alternatives in accordance with applicable law.


    37. Problems & Complaints During a Retreat

    If you experience a problem with accommodation, training, an activity or another included element of the retreat, please notify a Combat Collective representative as soon as reasonably possible during the retreat.

    This gives us an opportunity to investigate the issue and, where appropriate, attempt to resolve it while you are there.

    Where a problem relates to a third-party venue or provider, we may also ask you to notify the relevant provider so that the matter can be addressed promptly.

    Where a matter cannot be resolved during the retreat, complaints should be submitted in writing to:

    Nothing in this complaints procedure affects your statutory rights.


    38. Retreat Photography, Videography & Media

    Combat Collective documents retreat experiences through photography and videography.

    Content may include:

    • group training;
    • activities;
    • social events;
    • interviews and testimonials;
    • professional photography;
    • behind-the-scenes content; and
    • content produced in connection with retreat venues or brand partners.

    Content may be used for Combat Collective's community storytelling, website, social media, future retreat promotion and marketing.

    Where appropriate, additional consent may be requested regarding identifiable content and particular commercial or partner uses.

    If you have boundaries or concerns regarding photography or videography, please notify Combat Collective before the retreat and remind the relevant content team during the retreat where necessary.


    PART D – GENERAL LEGAL TERMS

    39. Our Responsibility

    Combat Collective will provide its services with the reasonable care and skill required by applicable law.

    Nothing in these Terms excludes or limits liability where doing so would be unlawful.

    In particular, nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability which cannot lawfully be excluded or restricted.

    Where loss arises from circumstances outside Combat Collective's reasonable control, independently arranged services or a participant's own acts or omissions, Combat Collective's responsibility will be determined in accordance with applicable law and these Terms.


    40. Changes to These Terms

    Combat Collective may update these Terms from time to time.

    The Terms applicable to your booking will ordinarily be the version provided or made available to you when you entered into the relevant contract.

    Where a change is required after booking because of law, regulation or another legitimate reason, we will communicate any material change where appropriate.


    41. Severability

    If any provision of these Terms is found by a court or other competent authority to be invalid or unenforceable, the remaining provisions will continue to apply to the extent permitted by law.
